This Privacy Policy (the "Policy") describes how the JapanConf operating team ("we", "us", "our") handles personal information and user data on the JapanConf website (the "Site"). By using the Site, you acknowledge the practices described below.

The Site is a static information site without account registration. The information we collect is limited to the following:
- Standard web server logs (IP address, user agent, referrer URL, access timestamp, etc.).
- Anonymous analytics data (Google Analytics 4, configured to anonymize IP addresses).
- Information you submit through the contact form (name, email address, inquiry type, related event name, message body).
- A cookie used to remember your locale preference (EN / JA).
Article 3. Purposes of use

The Site uses the following third-party services. Some of your device information will be transmitted to these providers. Please refer to each provider’s privacy policy for how they handle information.

Article 7. Disclosure to third parties
We do not disclose personal information to third parties without your consent, except in the following cases:
- Where required by law.
- Where necessary to protect the life, body, or property of a person and obtaining consent is difficult.
- Where particularly necessary for the improvement of public health or the promotion of the sound development of children.
- Where it is necessary to cooperate with national or local government agencies, or persons entrusted by them, in performing duties prescribed by law.
Outsourcing under Article 5 and the use of third-party services under Article 6 do not constitute disclosure to third parties.
Article 8. Transfers to third parties outside Japan
All third-party services described in Article 6 are provided by entities located in the United States, and your information will accordingly be transferred outside Japan (to the US) when you use the Site. The United States does not have a comprehensive personal data protection regime equivalent to Japan’s Act on the Protection of Personal Information; instead, state laws and sector-specific laws apply. Each provider implements appropriate safeguards based on its own privacy policy and standard contractual clauses or equivalent measures.
Article 9. Retention
- Information submitted through the contact form is deleted promptly after a reasonable retention period (in principle, two years) following the completion of our response.
- Web server logs, analytics data, and data held by third-party services are retained in accordance with the policies of the respective providers.
Article 10. Safety measures
We implement organizational, personnel, physical, and technical safety measures to prevent leakage, loss, or damage of the information we collect, and to otherwise ensure its safe management.
Article 11. Your rights
- You may request access, correction, addition, deletion, suspension of use, or suspension of disclosure to third parties, with respect to your personal data we hold.
- Please contact us through the contact form. We will respond within a reasonable period after verifying your identity.
- You may also file complaints regarding our handling of personal information with the Personal Information Protection Commission (https://www.ppc.go.jp/en/).
Article 12. Minors
The Site is not directed primarily to individuals under 18 years of age. If you are under 18, please use the Site with the consent of a parent or guardian.
Article 13. Changes to this policy
- We may update this Policy from time to time.
- For material changes, we will provide notice via the Site’s News page or other appropriate means at least seven (7) days before the effective date.
- Where we change the purposes of use, we will publish the changed purposes on the Site, subject to the constraints set forth in Article 3.
